Request for Proposal (RFP) for Social Media Engagement Services 


BAF is a Federation of Apartment Owners’ Associations (AOA) and Residents’ Welfare Associations (RWA) in Karnataka. All AOAs and RWAs in karnataka can become Members of the Federation! We currently have 1263 Apartment Owners’ Associations, spread across Bangalore, as our members and are continuously expanding our membership base. 

At BAF, we envision a connected community. Through innovation and authenticity, we'll captivate diverse audiences, fostering meaningful engagement. Our goal is to inspire active participation, building a dynamic ecosystem that leaves a lasting impact. 

We are seeking proposals from qualified social media engagement service providers to enhance our online presence and engagement across various social media platforms. We are looking for innovative strategies and expertise to expand our reach, increase audience engagement, and elevate our brand image. 

Our reach and projected numbers on Social Media in order of preference is as follows:


Scope of Work
The selected vendor will be responsible for the following: 
  1. Social Media Audit: Conduct a comprehensive audit of our current social media platforms to identify strengths, weaknesses, opportunities, and threats. 
  2. Strategy Development: Develop a tailored social media strategy that aligns with our Organisational objectives, including but not limited to content creation, audience targeting, posting schedules (paid / unpaid), and engagement tactics. 
  3. Content Creation: Create engaging, high-quality content (posts, graphics, videos, etc.) relevant to our target audience. Partner should have the bandwidth to attend various BAF events listed in Annexure 1, and create short videos for speedy posting on Social Media. Apart from these postings Partner would need to also create postings for meetings the BAF team will have with the Government / Civic agencies officials and also for various festivals. Creation of Content will need to be done in both English and Kannada for some posts. 
  4. Community Engagement: Manage interactions, respond to comments/messages, and foster a sense of community to increase engagement. 
  5. Analytics and Reporting: Provide monthly reports with insights, analytics, and key performance indicators (KPIs) to measure the effectiveness of the implemented strategies/posts. 
  6. Lead Generation: Engaging posts to build a pipeline of new members for BAF. To target at least 10 new members to join through social media channels per month. 
  7. Promotion: All promotional expenses (like paid promotions, social media influencer marketing etc.) for increased engagement shall be factored into the proposal because it is completely at the discretion of the Partner to increase our Member base and engagement. In your proposal you will need to mention the number of paid promotions you will do with costs involved. 

Proposal Requirements
Interested vendors are requested to submit a proposal that includes: 

  1. Company Overview: Brief introduction of the company, including experience in providing social media engagement services. 
  2. Approach and Methodology: Detailed explanation of the proposed approach, strategies, and methodologies for achieving social media objectives. 
  3. Case Studies/Portfolio: Examples of successful social media campaigns or projects conducted for similar clients, highlighting key achievements and results.
  4. Team Expertise: Information about the team members who will be dedicated to this project, including their experience and roles. 
  5. Timeline: Proposed timeline for each phase of the project, including milestones and deliverables. 
  6. Budget: Detailed breakdown of costs associated with the proposed scope of work. 
Selection Criteria
The evaluation of proposals will be based on the following criteria: 

  1. Experience and Expertise in Social Media Engagement 
  2. Creativity and Innovation in Strategy Development 
  3. Track Record of Achieving Measurable Results 
  4. Team Qualifications and Capabilities
  5. Cost-effectiveness 
  6. Prior experience of working with community organisations and or social campaigns will be considered as an advantage.
